"Creating Excel 2007 Drop Down List - The Simple Way"

The basic to creating Excel 2007 drop down list is using the Data Validation dialog box that available in the Data Tools group.

We will use the real simple example demonstration to illustrate the process of creating a drop down list in Excel 2007.

Most of the time you can use this drop down lists when you create the Excel template for easy data entry to avoid or minimize the data entry errors.

Bear in mind that the actual use of Data Validation tools is to remove the duplicate data by creating the basic validation rule.

To create an Excel 2007 drop down list

• Create a list of cells containing all the options for the drop down menus. For example, key in the following data in the cells B1 to B5.

• Select the cell you want the drop-down list to appear in, for example, select the cell D2.
• Click on the Data tab, in the Data Tools group, click the Data Validation icon (top part).

• From the Data Validation dialog box displayed, in the Settings tab Allow: field, choose the List option.
• Click the button (with red arrow pointing upwards) just to the right of the Source: field and while holding the left mouse button, drag the mouse over the list of cells from B2 to B5. You should see something like this.

• Press the Enter key and you will back to the Data Validation dialog box.
• Click on the Input Message tab and enter any text you want to appear when the mouse hovers over the cell in the Title and Input message fields.
• To customize the error message if someone tries to enter a value not in the list, click on the Error Alert tab and enter the necessary information.
• If you click on the Clear All button will clear all the entries you just entered and back to the normal settings.
• Click OK button and the drop down box will be created. Hover the mouse over the cell D2 and a small arrow will appear next to it.
• Click on the small arrow and the drop down menus appears.
